Event lighting is a different product entirely
Most outdoor lighting is built to stay. Event lighting goes up for an occasion and comes back down. A wedding, a milestone birthday, a company event, an anniversary: these are one night jobs. That changes the whole approach, starting with the fact that there is no second chance at it.Which changes how the whole thing has to be handled. An installation has time to be adjusted. An event gets one look. Everything gets settled before the week of, since improvising on the day is how events go wrong.
The date does not move
Permanent work has flexible scheduling. An event cannot. That means planning happens further ahead than the job size suggests. A small display still needs a site visit, a plan, a power solution and a crew on the calendar.
Power is where outdoor events go wrong
The most common outdoor event problem is not

Where the power comes from, how it gets to the fixtures, and whether the run is safe to walk over belong in the first conversation. A beautiful plan with no way to power it is a drawing.Tell the lighting company what else is going into the space, because the other vendors have needs that overlap with theirs.
Weather has a vote
Outdoor events are subject to whatever the day brings. It is worth asking what happens if the forecast turns, even though it is not the fun part of planning. Knowing whether the setup can move under cover, whether the date can shift, and who decides takes the pressure off the week of.
What tends to matter at an event
Two categories: mood and function. Atmosphere lives overhead and at the focal point. Function covers paths, level changes and exits, and it gets forgotten until somebody trips. Both belong on the list. Only one of them ends up in the photographs.
Working with the site
If the event is not at your own house, the property has its own requirements. Access windows, what can be attached to what, whether anything can be staked into the ground, and when everything has to be gone belong to the property. Getting those two parties connected up front prevents the usual scramble.
How much is actually enough
The instinct with an event is more. Dark surroundings lower the threshold, so what looks sparse on a plan often looks generous on the night. Contrast carries the atmosphere. Even brightness makes it look like a work site. A designer who says you need less than you think is usually right.
